Project and Contract Coordinator
POSITION SUMMARY
The Project and Contract Coordinator oversees the administrative and contractual components of project execution. This position manages the full contract lifecycle—from initial draft to final execution—and ensures that project deliverables are clearly communicated and fully aligned with contract terms. As a key member of the Business Operations team, the Coordinator serves as a critical liaison between Finance and Client Services, working with project stakeholders to ensure alignment with contractual obligations, monitor and report on key project milestones, and initiate accurate and timely milestone billing. With a dual focus on contract administration and project coordination, this role is essential to driving operational efficiency and delivering high-quality outcomes for clients.
ESSENTIAL RESPONSIBILITIES
Contract Administration
• Manages the full contract lifecycle to include tracking renewal dates, confirming scope of work, drafting retainer letters, analyzing fee structure, coordinating internal approval processes, getting final contracts into the client’s hands, and tracking and reporting on contract execution
• Coordinates responses to client and prospective client requests related to existing and new contracts and RFPs
• Maintains and updates standard contract templates and contributes to process improvement initiatives
Project Management
• Coordinates and facilitates internal project kick-off meetings to ensure alignment on project deliverables and contract obligations
• Establishes, maintains, and monitors internal project team communication channels
• Tracks, analyzes, and reports on key project milestones, deliverables, and overall product and project performance
• Produces executive summaries and reports for leadership on contract and project status, billing milestones, and product growth
• Initiates billing triggers and collaborates with Finance to ensure accurate and timely billing
• Maintains processes for creating, activating, and deactivating client matter numbers
• Identifies and escalates potential misalignments between contract terms, project deliverables, and billing triggers
Data Organization & Management
• Maintains contract, amendment, and project documentation records
• Oversees quality and integrity of records in the client relationship management system (CRM)
• Generates client-focused business operations analytics and reports
Business Operations
• Coordinates responses to inbound messages, emails, and general inquiries from internal stakeholders and clients
• Coordinates internal and external meetings and event-related activities and schedules

• Strong interpersonal and diplomacy skills; capable of building relationships and effectively engaging with staff and clients
• Skilled in drafting reports, executive summaries, and presentations that provide critical data and drive informed decision making
• Client-focused mindset; consistently delivers high-quality service to both internal and external clients
EDUCATION AND EXPERIENCE
• Bachelor’s degree required; business administration, management, accounting, finance, or a related field preferred
• Experience in contract administration, project coordination, or a related role preferred
• Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
• Experience with CRM platforms or database systems preferred (e.g., Hubspot, Salesforce, or equivalent)
• Familiarity with project management platforms (e.g., Hubspot, Asana, Monday.com, Trello) is a plus
